Hotel email marketing: the channel you already own and aren't using

Every guest who stays at your hotel leaves you the most valuable thing in digital marketing: their email and the proof they've already bought from you once. Multiply that by years of seasons and you have an asset worth more than any campaign — one that, in most hotels, sleeps in the PMS with nobody writing to it. Email is the highest-return channel in hotel marketing: an audience you own, near-zero marginal cost and no commissions.

Why it works so well for hotels

Because travel repeats. Whoever came to Mallorca this summer will probably return to the Mediterranean; whoever celebrated an anniversary at your hotel has another one next year. Email lets you be present at the exact moment the next booking is being decided — without paying to re-acquire someone who was already yours.

The emails a hotel should send

Before the stay

A well-crafted confirmation (the most-opened email you will ever send: use it to sell transfers, dinners, spa) and a pre-arrival a few days ahead with the practical details and an invitation to book services. They raise the average ticket and reduce friction at reception.

During

A discreet message mid-stay: everything alright? It catches problems while you can still fix them — before they become a public review.

After

A thank-you with a review request (the moment of peak emotion is gold for local SEO), and from there the long drip: greetings on special dates, an anniversary-of-their-stay offer, seasonal news with an exclusive direct-booking advantage.

Win-back

Whoever booked through an OTA is the jewel of the list: they already know the product and still pay commission. A specific series with a clear direct advantage ("next time, better price booking here") turns Booking guests into your own customers.

How to build the list (legally)

Check-in is the moment: explicit consent, well explained, in exchange for something (returning-guest perks, late checkout next time). Add the website form and the hotel wifi. No pre-ticked boxes, no purchased lists — illegal, and poison for deliverability too.

The mistakes that kill the channel

Emailing only when weak dates need filling (the list smells desperation); the same email for everyone (the family traveller and the romantic-getaway couple don't want the same thing — segment by what you know of their stay); designs unreadable on mobile; and measuring opens instead of bookings.

Start simple

You don't need twenty automations in month one. A crafted confirmation, a post-stay with review request, and a seasonal newsletter with an exclusive direct offer. That already moves the needle — and everything else builds on top.

At staycreative we set up email as part of the hotel's direct-sales strategy, integrated with the website and the analytics. If your database has been gathering dust for years, let's talk — it's among the most profitable things you can switch on this year.
